Reflection Topic 4 - Contract Administration

Every business has a form of contracts to bind the workmanship of the company and a partnership of another. In many cases this is called a memorandum of agreement or understanding. It stipulates services or products that is going to be offered by one party and accepted by the other. The terms which will be accepted might entail delivery, payment and timelines of the project at hand.


In my experience the decor company I have been employed with for the past year hasn't exposed me to these contracts first hand. The main type of contracts that were drawn up were between installers of our products, manufacturers, suppliers and any collaborations between the company and designers on a project.


Preparing, receiving and adjudication of documentation of bids or tenders and the procedures connected therewith:


To my knowledge, the contract comes into play once all parties involved have came to a prior agreement of the terms to be drawn up in the contract. The principle person in charge of drawing up the contract is usually the company who sourced the required skilled personel for the project at hand.


Site meetings

Site meetings are arranged when an enquiry of a flooring installation is logged. This includes prior email communication and confirmation date and time of Site visit.


Inspection of works

Once we get to site we asses the premises for any faults in the flooring, wall and ceiling before using the scanning tool to measure up the space. The scan reaches up to 12sqm at a time. Notes and images are taken and recorded per scan done.


Issuing instructions, notices and certificates to the contractor

The details of the job is handed to the contractor installing the job and the project is then supervised by the principle contract person being Airloom.


Client reports

Once the job is completed the client will revert back to us with a review on the work done and if there are any snags in the project the contractor appointed handles the damages done under our supervision.


Administration of variations and monetary allowances

If there are any faults in the project at the moment the contractor will be accountable for not having taken note of any detail or fault prior to completion of the project and whether or not they were responsible for the damages done


Resolution of Disputes

Any disputes in the contract agreement will be handled in stages of the project process, at which ever stage of the completion on the project it is the decision to see the project through would be the main priority over completely putting the project on hold.


As built drawings

Automatically generated through scanning technology, any existing structural details are recorded in the scan and produced into desired file types such as Revit, AutoCAD and SketchUp. Any changes made to the structure will have to be made to SketchUp and AutoCAD files and if needed scan on project completion at an additional cost.


Final accounts

The balance of the project is paid on completion and once any snags are fixed up.
